Job Description
Position Summary:
The PA2 spends at least 51% of their time assisting the broker team by marketing basic submissions/accounts. The remainder of their time is spent assisting the broker team in meeting the day-to-day technical and clerical needs by servicing active and expired policy files; all in accordance with established Brown & Riding values, goals, and procedures.
Essential Functions:
- Manage the marketing of basic accounts by preparing submissions, approaching carriers for quotes, and negotiating coverage; requiring little to no support from senior members of the team for the majority of accounts.
- Collaborate with the Broker and other senior members of the team to meet and exceed client expectations throughout the submission process by managing client coverage goals, priorities, and overall expectations.
- Solicit timely and substantive responses to submissions and effectively negotiate pricing and terms with underwriters, providing frequent and transparent updates to the client..
- Gather and develop complete loss summaries and analysis, as needed.
- Prepare quality, error-free submissions, and effectively present this information to underwriters both verbally and in written form.
- Identify and correct inconsistencies or errors in relevant documents and promptly correct/clarify the same with the client and/or underwriter.
- Ultimately responsible for the quality, timeliness, and accuracy of quotes, binders, checklists, and other marketing file documentation for accounts they handle.
- Meet quality measurement goals and procedures by following internal Quality Management System(QMS) standards.
- Ensure all transactions comply with regulatory requirements and company policies, maintaining accurate records.
- Facilitate clear communication of coverage terms and all other information between clients and underwriters, ensuring the delivered policy aligns with client expectations.
- Follow up for subjectivities and any other post-binding requirements issued by the carrier.
- Ensure agency management files are fully documented as required by the company’s QMS procedures.
- Produce and email renewal letters requesting completed applications for insurance coverage.
- Assist with setup of market submissions by compiling information and applications provided by the retailer.
- Relay a retailer’s written bind request to a market/carrier.
- Relay a retailer’s written endorsement request to a market/carrier.
- Prepare Quotes for release (input quote details into agency management system, outline binding subjectivities, update market responses in the market portal).
- Process and release of Confirmation of Coverages after receiving market/carrier binders – a licensed team member must be included (Cc’d) when sending Confirmation of Coverage to retailer. The act of requesting coverage bound with a market/carrier must be done by a licensed team member.
- Transmit policies issued by markets/carriers to retailers.
- Follow up for pending endorsements, review their accuracy upon receipt, invoice, and transmit to retailer.
- Manage and maintain follow up tasks (pending Items that we are waiting for from retailers. and carriers), including following up on items and escalating unresolved when appropriate.
- Ensure Surplus Line documents are submitted correctly and on time.
Other Responsibilities:
- Starting to develop skills in marketing/handling complex accounts/situations with significant assistance from senior members of the team.
- Provide training and ongoing guidance to Production Assistants, supporting their professional growth and development.
- Open mail, office filing and mailing billings, as needed.
- Assist with accounting reconciliation projects.
- Work closely with Broker in identifying projects where skills, experience, and knowledge can be utilized effectively.
- Perform other work-related duties as assigned by broker and/or management.
- Pursue educational opportunities to expand insurance knowledge.
Education, Experience and Skills Required:
- Minimum 1 to 3 years of relevant insurance experience.
- Property & Casualty and Surplus Lines Licenses (as required by state).
- Foundational understanding of basic P&C insurance products, including coverage types and standard exclusions.
- Strong organizational, follow-up, communication, and interpersonal skills.
- Strong analytical skills to accurately define problems, gather and interpret relevant data, establish key facts, and draw well-founded conclusions efficiently.
- Proactive approach to problem-solving, exhibiting good listening skills and a willingness to support others.
- Basic negotiation skills developing the ability to influence and persuade stakeholders.
- Able to effectively interact with and adapt to diverse personality and communication styles
- Flexibility in work schedule and ability to adapt to changing demands of the position.
- Independently manages time to get the job done with minimal supervision.
- Intermediate skill level in PC software (Word, Excel and other software, as required).
Work Environment
- Physical activities of job are within the normal expectations of an office environment where the amount of standing, walking, sitting, reaching, and other movements are within the control of the incumbent.
- Vision requirements are in the normal range, correctable with glasses or contacts, where color vision, peripheral vision, depth perception have no significant impact on job performance.
- Working environment is generally within the confines of an office where normal climate conditions support effective job performance. Some daily travel may include limited time spent outside in the elements as part of the normal commute.
- Risk of exposure to hazardous materials, electrical shock, explosives, radiation, vibration or airborne particles are at the extreme minimum. Protective clothing is usually not necessary to effective job performance or safety.
